What does a project coordinator or administrator do in IT?

So many of New Zealand’s new projects are based around technology and digital. With organisations continually looking to go through digital transformation, update legacy systems and improve the end user experience, there’s a need for talented project coordinators to keep everyone on track.

A project coordinator will help schedule, plan and report on the team’s activities, often working closely with the project managers and leads to see an efficient project delivery.

They’re also a key role in communicating important information around the IT project between the team and stakeholders broadly in the organisation.

A good project coordinator is skilled at resource management, finding the best combination of team members for a given project stage (or sprint). Over the course of your project coordinator career, you’ll become familiar with waterfall and agile methodologies and emerging delivery practices.

A project coordinator or administrator will also be across the budget and prepare reports for project management as part of their governance.

Project coordinator within a technology project

Project coordinators maintain & monitor project plans, project schedules, budgets & expenditures and work closely with project or programme managers. They organise, attend & participate in stakeholder meetings, documenting & following up on tasks, actions and decisions.

Project administrator within a technology project

Project Administrators assist with other administrative functions such as coordinating schedules, setting up meetings, preparing reports and other admin tasks.

What’s it like to work in this discipline?

Being a project coordinator or administrator is a busy, varied position where each work day can look quite different to the next!

It’s an important role where many other project team members rely upon for smoother delivery. It’s also a great opportunity to interact with every other component or role within the project environment.

Many project managers are past project coordinators, and the experience you’ll acquire through the project coordinator role sets you in good stead should you wish to move to a full project management role later.

What qualifications or experience does this role benefit from?

Project coordinators come from all walks of life and levels of education. What they all share in common though is a high degree of organisation, great communication and confidence with software tools.

You’ll be well suited for this type of work if you’re happy to chat to different people in the organisation no matter their seniority.

In terms of soft skills, you should also expect to juggle different or conflicting expectations; while these types of project roles are more around the nuts and bolts of project delivery, you will often be in meetings where you’re part of the group balancing these expectations. And if you’re good at summarising data into reports that everyone can quickly understand, you’ll be popular in this position!

Preparing a CV or cover letter for a project coordinator or administrator role

If you’ve got experience working as a project coordinator or administrator, you should ensure that this information is front and centre on your CV.

Even if chronologically this experience is a bit farther back than more recent roles, make sure it’s clear on your CV that you’re applying for a role you’ve done before elsewhere.

If you don’t have direct project coordinator or administrator experience then you should pull out the project related skills and experience you do have. Think of the times where you’ve organised, communicated and reported the status of a piece of work and what might be transferable to the advertised role.
